“Copilot” now appears in office software, IT tools and customer service platforms, and it does not mean the same thing in each of them.

An AI copilot is an assistant built into the applications people already use. It works from the context of the task in front of the user, such as an open email, a spreadsheet or a support ticket, and helps draft, summarise, search and suggest next steps. The person reviews the result and decides what to do with it.

TL;DR

  • A copilot helps within a work task. A chatbot focuses on conversation, though the two can overlap.

  • Copilot features vary by licence and configuration, so colleagues in the same company can have different experiences.

  • A copilot generally sees what the user can already open, so files shared too widely can show up in its answers.

How does an AI copilot work?

A copilot combines three things. A large language model generates the text. A connection to your applications and files lets it see relevant content. The context of the task, such as the open email or document, tells it what you are trying to do. When you ask for help, it gathers the relevant material, passes it to the model and returns a draft or answer.

Copilot, chatbot or agent?

Agent

Typical setting

A separate chat window or website

Inside the apps staff already use

Across several systems, often in the background

Typical job

Answers questions

Drafts, summarises and suggests within the task

Carries out multi-step tasks

The user reviews and accepts

Depends on how much autonomy is set

These are common patterns rather than fixed categories; products can combine them.

What can the copilot see?

Many copilots work within the access the user already has. In Microsoft 365, Copilot draws on content the signed-in user is allowed to open (Microsoft Learn). That is sensible, but it means a file shared too widely can show up in answers. A spreadsheet shared too widely may appear in Copilot answers for users who have access to it.

Before relying on a copilot, review who can open what. For rules on what staff may enter into AI tools, see AI Governance for Singapore Businesses. If your organisation needs tighter control over where data is processed, see Local LLM for Business in Singapore.

FAQ

Is an AI copilot the same as Microsoft Copilot?

No. “AI copilot” is a general term for an assistant that helps users with work tasks. Microsoft Copilot is one product family; other vendors offer copilots with different features and integrations.

Does an AI copilot automatically have access to all company files?

No. Access depends on the product, connected data sources, user permissions and administrator settings. Businesses should review these before connecting internal information.

Can an AI copilot run on our own servers?

Some assistants can be built using locally hosted models, but cloud products such as Microsoft 365 Copilot cannot simply be installed on your own servers. A local deployment requires a different architecture and ongoing infrastructure support.
